Make people prioritize their jobs correctly, break up bigger jobs into smaller manageable chunks and plan their day keeping in mind their circadian rhythms.

 

 

Circadian rhythms are the daily cycles that govern our bodies with the ups and downs in the energy, moods, temperature, blood pressure and the ability to perform different types of activities.

 

To do lists 

Often people find themselves hard pressed for time because they give equal or inappropriate priorities to various jobs on their ‘to do list', in terms of the order of attempting them, the level of perfection to be achieved, or the amount of time that they allocate to them.

 

All the tasks, enlisted in the order of priority, should always be in front of your eyes along with other essential details on how to do them.

 

Train your people to read fast

Fast reading skills can save organizations precious man-hours apart from enabling people to have a better understanding of the material they go through. The print size of the notes in files can be bigger than what normally is found in the offices. Bigger prints improve efficiency. One does not need to strain to concentrate on the reading material.

 

Avoid duplication of work

Find out the things that can be bunched together and be finished in one go. What else you or someone else in the organization can do for others if she/he is going to a particular place for a particular piece of work? A ‘Help Me' board can be of great help.

 

Employees can pin their request-slips on the ‘Help Me' board stating their need to visit a particular place to fetch or deposit something - the kind of jobs anyone else can also do for them.

 

This saves a lot of organizational time, which is wasted because of duplication of work. Why should seven employees, waste an hour each, if one of them can go and finish the job may be, in one and half an hour?
